Data lag hovered around 24 hours. Because onboarding triggers were delayed, newly closed clients frequently did not receive follow-ups for a full day, creating immediate friction and lowering retention rates.
The Strategy
Rabia Rabbani designed a custom, decentralized webhook hub using n8n to relay secure transactional data directly from payment events to CRM records.
Instead of generic pre-built app syncs that drop payloads during high volume, we engineered a custom JSON parsing engine with localized error-handling routines, securing data mapping even when APIs are temporarily unavailable.
Implementation & Execution Process
Phase 1: Workflow Mapping
We audited the client's Stripe and HubSpot parameters, mapping exactly which fields were required for automated onboarding triggers.
Phase 2: Custom n8n Deployment
We established a secure VPS environment running n8n, configured custom endpoints, and built custom JS parse routines to sanitize payment profiles.
Phase 3: Integration Tests & Fallbacks
We verified pipeline functionality by triggering 100+ simulated payment webhook failures to confirm fallback notifications scale appropriately.
